We are seeking an energetic individual with the ability to multitask and work under pressure. This position is with a growing mortgage company that demonstrates pure team work and superior effort. It provides a positive work atmosphere with unlimited opportunity for growth.

The Administrative Assistant will provide administrative and staff support to the general organizational operations. Working under the owner this position provides all the organizational support and is responsible for a variety of other tasks.

DUTIES AND RESPONSIBILITIES:
Processing all accounts receivable and payable utilizing QuickBooks. Provide assistance as needed with research for products, services and product development. Arranging for the shredding of all financial documents as needed. Greet and direct office visitors, answer main office telephone system, respond to direct requests for information and/or forward messages to appropriate staff.

Assist with review of administrative procedures and development of systems to assure compliance by all staff. Staff liaison for any matters. Maintain inventory for office supplies and computer software Assist with research and cost comparisons for vendors to maintain cost effectiveness and quality, including technology and computer support. Maintain master calendar of in-house meetings. Coordinate all networking events, holiday parties and other type events. General office duties such as typing, bookkeeping, flow of correspondence, filing, requisition of supplies, faxing, etc.
Booking travel and hotel arrangements as needed.

Coordinate materials for meetings and training sessions and other activities of the organization Lead person in providing support of mailings or coordinating bulk mailing processes. Provide meeting support as needed(e.g., scheduling conference rooms, coordinating food, logistics) Assist in the updating of the company website and advertising. Provide administrative support to staff for copying, faxing and large-scale mailings. Maintenance of all corporate licenses and compliance procedures. Following up with all clients for post closing feedback. Sending out post closing packages to all clients.

Maintaining referral email distribution lists, updating as needed. Responding to staff requests for administrative support as needed. Perform all duties and responsibilities as requested with a sense of humor and team spirit is a must.

QUALIFICATIONS:
No prior mortgage experience necessary. Minimum one year office administrative support experience is preferred. Excellent organizational skills (oral and written) and the ability to excel at details, multi-tasking and working under pressure. Must have experience and skilled in the use of software programs such as MS Word, ACCESS, PowerPoint, quick books and Excel.

Salary commensurate with experience, vacation, sick leave and generous holiday schedules.
